Retreat Terms and Conditions
1. Booking & Deposit
• Your place is confirmed once we receive a non-refundable deposit.
• The deposit amount will be clearly stated at the time of booking.
2. Age Requirement
• Retreats are open to participants aged 18 and over.
• Under-18s may attend only with a pre-approved guardian who is also 18 or older.
3. Payment
• Balance due: 3 months before the retreat start date. A reminder will be sent by email.
• Late bookings: bookings made within 3 months of the retreat require payment in full at the time of booking.
• Payment methods: EFT (details provided upon booking) or credit card (2.5% processing fee applies).
• Late payment: may result in cancellation, with the deposit retained.
4. Pricing
• Prices may change prior to booking due to supplier rates or other external factors.
• Once your deposit is paid, your price is locked in and guaranteed.
5. Cancellation & Refunds
5.1 General
• Deposit: always non-refundable, regardless of when you cancel.
• Balance: due 3 months before the retreat start date. After this point, all payments are non-refundable and non-transferable.
• No refunds for late arrivals, early departures, or non-participation in scheduled activities.
5.2 Payment Plans
If you are on a payment plan and have made payments beyond the deposit before the 3-month mark:
• Your place is filled: any payments made beyond the deposit will be refunded.
• Your place cannot be filled: all payments, including any beyond the deposit, are non-refundable.
6. Health & Medical
• Participants must disclose any relevant health conditions, injuries, chronic illness, or pregnancy at the time of booking, or as soon as they arise.
• This information is kept confidential and used solely to ensure your safety and wellbeing during the retreat.
• Core Life Yoga reserves the right to decline a booking, or ask a participant to withdraw, if a health condition is deemed to present a risk to themselves or others.
• We strongly recommend consulting your healthcare provider before attending if you have any concerns.
7. Liability
• Participation in all retreat activities — including yoga, hiking, and use of sauna and hot tub facilities — is entirely at your own risk.
• Core Life Yoga and facilitator Jen Hamilton take all reasonable care for participant safety but accept no liability for injury, illness, loss, or damage arising from participation in retreat activities.
• Participants are encouraged to take out comprehensive travel and medical insurance prior to attending.
8. Force Majeure
• Core Life Yoga is not liable for cancellations or changes resulting from circumstances beyond our control — including natural disasters, extreme weather, pandemics, government restrictions, or other unforeseeable events.
• In such cases, we will make every effort to offer a credit or transfer to a future retreat, though refunds cannot be guaranteed.
9. Photography & Privacy
• Photos and videos may be taken during the retreat for use in Core Life Yoga marketing materials, including social media and the website.
• If you would prefer not to be photographed, let us know prior to or upon arrival and we will respect your wishes.
• Your personal information will never be shared with third parties.
10. Dietary & Accessibility Needs
• We are committed to doing our best to accommodate dietary requirements and accessibility needs.
• Please advise us at the time of booking so we can make every effort to meet your needs.
• While we will always endeavour to accommodate requests, we cannot guarantee that all requirements can be fully met.
11. Retreat Changes
• If a venue or location change is unavoidable, we will do our best to provide a comparable alternative and notify you promptly.
• If Core Life Yoga needs to cancel a retreat, we will endeavour to recover costs from venues, caterers, and suppliers and pass these on to participants.
• Refunds cannot be guaranteed in this case, as they depend on third-party supplier policies. You may instead choose to transfer your payments toward a future retreat.
• We strongly recommend arranging travel insurance that covers travel, medical costs, retreat activities, and trip cancellation.
• Core Life Yoga is not responsible for additional costs such as flights or travel insurance.
12. Conduct
• Core Life Yoga reserves the right to refuse or cancel a booking if a participant's behaviour or circumstances are deemed to impact the safety or experience of the group.
• The standard cancellation policy (see Section 5) applies in such cases.
13. Updates
• These terms may be updated at any time, and the most current version will apply.
• By completing your booking, you confirm that you have read and agreed to these Terms & Conditions.
A Terms & Conditions agreement and Health & Medical Questionnaire will be sent to you prior to retreat commencement.
